Refund & Cancellation Policy

This Refund & Cancellation Policy explains how ticket cancellations, refunds, and event changes are handled on Conferena. By purchasing tickets or hosting events on Conferena, you agree to the terms of this policy.

1. Role of Conferena

Conferena is a facilitator that provides event management, registration, ticketing, and payment processing services to event organizers. Brainverse Technologies does not own, manage, or control the events listed on Conferena and is not responsible for event content, logistics, or cancellations.

Refunds and cancellations are primarily determined by the event organizer’s policies, which are displayed during ticket purchase.

2. Organizer Responsibility

Organizers are required to:

  • Clearly specify their refund and cancellation policy on their event page before publishing the event.
  • Communicate promptly with attendees regarding cancellations, rescheduling, or major event changes.
  • Handle refund requests in accordance with their stated policy.
  • Conferena provides organizers with tools to process refunds but is not obligated to issue refunds on their behalf.

3. Non-Refundable Platform Fees

Conferena service fees, processing charges, and payment gateway fees are non-refundable, even if the event is canceled, rescheduled, or an organizer approves a refund. These fees cover administrative costs and payment processing infrastructure.

4. Event Cancellations or Changes

If an organizer cancels an event, attendees may be eligible for a refund as per the organizer’s policy. Conferena will facilitate the refund process but does not bear financial liability for ticket amounts.

If an event is rescheduled, tickets remain valid for the new date unless otherwise stated by the organizer.

If an attendee cannot attend the rescheduled date, refund eligibility is at the organizer’s discretion.

5. Attendee Cancellations

If you are unable to attend an event, you must contact the organizer directly. Refund approval is subject to the organizer’s cancellation policy. Conferena does not guarantee refunds for voluntary cancellations.

6. Refund Processing

Once a refund is approved by the organizer, Conferena will process the payment within 7–14 business days, depending on the payment method used. Delays caused by third-party payment providers (M-Pesa, banks, card processors) are outside Conferena’s control.

7. Force Majeure

Conferena and Brainverse Technologies are not responsible for refunds or compensation for events affected by circumstances beyond the organizer’s control, including but not limited to natural disasters, pandemics, government restrictions, strikes, or other force majeure events.

8. Disputes

In case of disputes between attendees and organizers, Conferena may act as a mediator but is not obligated to resolve the dispute or provide a refund if the organizer declines to issue one.

This policy is designed to balance the rights of attendees with the obligations of organizers while ensuring Conferena and Brainverse Technologies are not unfairly exposed to financial or legal risk.
